An asset on the register may be under repair, in transit or reserved. Treating the whole fleet as available capacity distorts utilization.
What the quote needs to include
Build an equipment timeline separating physical location from commercial availability. Planned dispatch must not replace the recorded actual dispatch.

Use identified assets as the analytical unit rather than equipment categories alone. Two assets in one category may have different capacity and commercial restrictions. Record when each condition begins and ends, including maintenance extensions made after customer service has already accepted a reservation. Availability should represent an agreed state, not merely a row in the asset register.
When comparing proposals, examine overlapping intervals. A reservation can coexist with planned downtime but should appear as a conflict requiring a human decision. Coloring the calendar according to the latest received status hides that conflict. A pending-issues view is often required before utilization rates can be calculated with confidence.
Specific acceptance criteria
- Keep identity stable after category changes.
- Separate workshop time from commercially free days.
- Distinguish future reservations from actual utilization.
The exception that determines acceptance
An asset returns from rental straight to the workshop. Acceptance must prevent it appearing available between the events recorded that day.
Test early returns, rental extensions and substitute assets. Occupancy of a replacement must not erase the original asset history. Also check that reporting distinguishes the total registered fleet from equipment commercially ready to offer. Choosing between a configured calendar and custom software depends on these exceptions rather than the number of charts.
