Charges may differ from estimates because measured packaging differs from declared packaging. Comparing invoice totals alone hides the cause.

What the quote needs to include

Retain dimensions, physical weight and commercial conditions per shipment. Avoid applying one universal volumetric factor across all carriers.

Analysis supplies evidence; it does not decide contractual disputes or cost liability.

Inventory contractual rate tables, packaging records and charge statements. Sources may use different units, and rounding may occur at different stages. The proposal must identify those transformations without silently rebuilding historical shipments using current rates. Compare an ordinary shipment and a repacked one against original documents. For dispute prioritization, an explainable difference list is more useful than highlighting the most expensive carrier. Define who confirms measurements and who maintains commercial terms. Trustworthy reporting separates master-data errors, packaging events and applied rules; negotiation decisions remain with the company. When measurement evidence is unavailable, mark the comparison as unconfirmed rather than presenting a supposedly exact adjustment.

  • Keep dimensions with units and source identification.
  • Apply carrier rules by their valid periods.
  • Distinguish repacking from master-data errors in analysis.

The exception that determines acceptance

A shipment receives larger packaging after quotation. Testing must explain the difference and retain the inputs used in the original estimate.
