Define when a lead becomes a deal and how sales rejection returns to marketing when integrating RD Station Marketing and CRM.
Index
Downloading a resource does not mean someone is ready to buy. When every RD Station Marketing signal becomes a deal, sales receives a queue that looks productive but mixes curiosity, suppliers and companies outside its target profile. Integration must make the handoff criteria and the receiving team's acceptance explicit.
Separate interest, eligibility and ownership
Identify the signals currently used: a quote request, campaign source, company profile and conversation response. Each conveys something different. Scoring may support triage but cannot replace a sales agreement on which requests the team accepts. Use examples of accepted and rejected contacts to turn that agreement into verifiable rules.
RD Station Marketing and RD Station CRM have their own integration contexts. Check the products in use, enabled capabilities and authorized credentials before selecting a connector or building the handoff. If qualification is unclear, connecting additional fields merely moves the ambiguity to another screen.
The scope must include the return path
- Record the handoff event, reason and initial review owner without erasing the contact's origin.
- Define reuse when an open deal already exists, avoiding competing deals for the same request.
- Provide clear rejection reasons and return them to marketing, distinguishing poor fit, unsuitable timing and unreachable contacts.
Test a lead that returns later
In a hypothetical case, a company rejected because of timing returns months later with a concrete request. Acceptance should demonstrate whether history is reused, which rule reopens assessment and who receives the new request. Also test two forms from the same contact and a sales rejection. Review both tools: creating a deal does not prove that context and feedback arrived correctly.
