Plan internal AI searches for business documents while preserving access by person, sources, update, and response limits.
Index
A search can find the correct answer and still be wrong when showing it to those who don't have permission. On an internal basis, access control is part of information retrieval. The project needs to respect the original documents and follow changes in team, folder and responsibility.
Decision this guide helps you make: Offer internal answers without expanding access to company information.
Start with the source and access map
Identify existing repositories, owners, and rules. Determine what content can be included in the index and how its permissions will be represented. Don't gather everything into a single open database for convenience. Confirm available connectors and behavior when the source revokes access or removes a document.
Apply authorization before response
The filter must consider the user and the context of the query when searching for sources, not just hide links after generating the answer. Test users with different permissions by asking the same question. Also check excerpts, summaries and conversation history, which can reveal information even without displaying the complete file.
Show origin and currentity
The answer must indicate the materials used and allow verification. Outdated or conflicting documents require defined treatment. If synchronization fails, the team must know the delay and its impact. A referenced answer is not necessarily correct; it makes review easier and reduces reliance on blind trust in the system.
Evaluate usefulness with real tasks
Choose questions that today require searching in several places and others whose answers do not exist in the database. Measure time until you find usable information, appropriate opt-outs, and cross-profile leaks. The pilot should include user termination and permission changes in addition to successful queries.
- Authorized sources and defined owners.
- Insulation tests by profile.
- References and sync failures visible.
A scenario to check out in the demo
Hypothetical example: a person changes teams and loses access to a folder. The search must stop using that content for its answers according to the defined and tested behavior. It is not enough to hide the link if the summary continues to reveal the information. The pilot needs to measure revocation and updating of the index, in addition to evaluating the quality of responses.
Briefing to request a proposal
- Repositories and groups that will form the initial collection.
- Document access and removal synchronization rules.
- Allowed and denied test questions for each profile.
Hire a controlled cut
Quantum9 can start with a collection and a group of users with clear rules. This step helps you evaluate search and authorization quality before expanding company-wide. Priority is useful response within allowed access.
