A salesperson change may involve a whole portfolio, but not every record should follow the reassignment. A jointly negotiated deal, a personal activity and a regionally owned account follow different rules. Before commissioning Dataverse automation, determine which responsibility changes and which must be preserved.
Record ownership does not tell the whole story
Map the owner, service team and deal participants. The field used to assign a record can affect access and automation, so simply replacing a user must be assessed against the actual configuration. Confirm the tables involved, permissions and API actions with the administrator of the authorized environment.
Compare administrative reassignment with sales restructuring. The former may correct records left with a departed user; the latter may require rules by region, product or stage. The quote must show these rules and exceptions rather than treating every ownership change as the same operation.
Define a reviewable list before execution
- List eligible accounts and deals with reassignment reasons and handling of shared negotiations.
- Specify destinations for open tasks and appointments, separating portfolio activities from previously accepted individual responsibilities.
- Preview exceptions, name the approval owner and provide a correction path for a mistakenly reassigned relationship.
Test the case that must remain excluded
In a hypothetical scenario, an account changes owner while its main deal remains with a specialist team. Acceptance must show which records moved and which stayed, including visibility for both teams. Repeat the request and check that no activity is duplicated. The expected result is the agreed allocation with inspectable evidence, not merely a technical success response.
