How much does it cost to develop an app? Estimating your project

Editorial illustration: How much does it cost to develop an app? Estimating your project

Understand what goes into an app budget, compare scopes and prepare an estimate covering development, integrations and maintenance.

The cost of developing an app depends on the tasks it handles, the platforms, the integrations and the operations required after launch. To produce a useful figure, a proposal must separate development, external services and ongoing support. An information lookup app and an app that records sales offline may have similar screens but require very different amounts of work.

What goes into the price of an app

The budget may cover process discovery, a prototype, the interface, backend, admin dashboard, integrations, testing and release. Check which items are included and which depend on another vendor. Screen count is only one indicator: permissions, approval rules and synchronization often account for much of the work.

  • Platforms: a web app, Android, iOS or a combination based on your audience and required features.
  • Data: new records, historical data migration, attachments and access by company or location.
  • Integrations: ERP, CRM, payments, notifications and vendor dependencies.
  • Field use: camera, location and offline functionality, where operations justify them.
  • Quality: testing on representative devices, accessibility and failure recovery.

Three scenarios for comparing the investment

Simple scope: looking up and recording information

A focused workflow, such as viewing documents and submitting a request, makes it possible to define a smaller first release. Login, permissions, notifications and administration still need to be specified. Check whether a responsive website or web app meets your needs before including app store publication.

Intermediate scope: integrating operations

Orders connected to an ERP, role-based approvals and status tracking add rules and dependencies. Ask for an estimate that identifies available APIs, the test environment and behavior when an integration fails. The external vendor's availability also affects the timeline.

Complex scope: working offline and synchronizing

Field teams may need to collect information without internet access and synchronize later. Conflicts, attachments, permissions and outdated data require specific decisions. A technical proof of concept on real devices can reduce uncertainty before pricing the entire solution.

How to obtain a reliable price range

Request a minimum and maximum range tied to explicit assumptions: included features, confirmed integrations, expected volume and items still requiring discovery. We do not publish a price list in Brazilian reais without knowing that scope. A figure from another project is not a quote for your app.

To compare proposals, give every vendor the same user journeys and acceptance criteria. Separate required and optional items and check how changes will be estimated. A cheaper proposal may exclude an admin dashboard, migration or testing that another includes.

Which costs continue after launch?

Allow for hosting, storage, messaging services, publishing accounts, monitoring and maintenance. Third-party fees depend on the provider and usage; confirm current rates when contracting. Distinguish bug fixes, platform updates and new features.

Also define ownership of and access to accounts, code and documentation in the contract. The handover should let your company monitor operations and plan ongoing support clearly.

How to reduce scope without compromising the goal

Choose a journey with existing users and an observable problem. For example, recording a visit and synchronizing the result can come before advanced reporting and gamification. A clickable prototype helps validate shared understanding; a technical proof of concept addresses questions about device features and integration.

A brief for requesting a quote

  1. Describe who uses the app and the three most important tasks.
  2. Specify existing systems, devices and offline requirements.
  3. List access roles and relevant documents, using anonymized examples.
  4. State your target timeline, budget constraints and who approves delivery.
  5. Ask for implementation and recurring expenses to be itemized in the proposal.

To review vendor selection criteria, also use the guide to comparable business app quotes. If you already have a process in mind, request an assessment from Quantum9 to evaluate alternatives and define a first release before committing to development.
